Creating a central register list

The Central Register item references a list in SharePoint describing one or more locations.

 

A central register can be a list or a library with document sets.

Using the metadata from a central list or library, Solution Profiles are able to personalize SharePoint and return locations that are relevant to end usrs

The columns may be of different columns types (e.g. Text, Number, Lookup, Managed Metadata, People/Groups,). Typically a list would be focused on a particular business system such as Project Management, Legal Matter Management, Helpdesk, and contain one or more items for each project, matter or helpdesk case respectively.

 

A central register can be used for an existing index of locations in your SharePoint / Office 365 environment.

1. Create a central register list or library in SharePoint

The example central register list below is for a Legal Matter Management System. The list contains a number of columns describing different legal matters, including a column called Matter Location URL. This column contains URL's to the Matter location.

In this example, all matter are represented consistently, as SharePoint Sites. Therefore, there is no need for a second column to describe what the Location URL is pointing towards.

A Project Management System may have columns such as:

  • Project name
  • Project description,
  • Project Budget,
  • Project Status
  • Project Owner,
  • Project Team members

Create views in SharePoint

Through the use of metadata views can be created to show sets of relevant information. In the example above, a view can be created in SharePoint to return all Matters where the type is "Taxation"

Creating these views in SharePoint will allow the central register to connect to the view and deliver these to users in Outlook and Office suite.

There are no limits on the amount of views that can be created

Notes

  • A central register list must contain a column type of "Text" or "URL" this is used to enter the URL of the destination location that is being returned
  • The URL referenced must be exact
  • The URL can link to a site collection, site, document library, list, document set, List folder or a library folder
