Pre-requisite setup for Email Tracking Service

Steps for Active Directory

  • Create a dedicated Active Directory account named: OnePlaceSolutions Email Tracking

This is the account we use to send transaction emails to, for processing. It is also the account we give rights to, for impersonation to update emails with the 'Transferred to SharePoint' category in Outlook, SharePoint Url, and any custom MAPI columns in the users mailbox from an Email Tracking Service plug in.

Details to enter:

  • First Name: OnePlaceSolutions
  • Last Name: EmailTracking
  • UserName: OnePlaceSolutionsEmailTracking (or naming convention as per company policy)
  • Set Password to never expire (or as company policy)

Steps for Exchange Server

  1. Create an Exchange mailbox for the AD account, created above.

This is the mailbox which will receive the transaction emails for processing. This mailbox will be monitored by the Email Tracking Service.

  • The SMTP email address will be required when configuring the Email tracking settings. Please take note of this e.g. [email protected]

Office365 - An Exchange mailbox may have been create during the set up of the user account.

2. Create an Exchange distribution group called " OnePlaceSolutionsEmailTrackingUser

This is a list of people or group, who will have their mailbox updated with information from the Email Tracking Service. For example, Transferred to SharePoint category, SharePoint URL, and other MAPI columns from the custom plugin developed via the API (e.g. a Project No).

3. Grant the AD User created, impersonation rights to the required OnePlaceMail users.

You need to give impersonation rights for the user you created in Active Directory, to the list of users you wish to be impersonated by this account. This could be the entire company or restricted to an Exchange Distribution group. If you wish to restrict access to a particular Exchange Distribution group, restrict impersonation to the Exchange group created in Step 2.
